You send an offer from the candidate's details in a job's pipeline. Katara emails the candidate a link where they can read the terms, sign to accept or decline. You can follow the offer's status from the pipeline.
Sending an offer
- Open the job and click the candidate.
- In the candidate's details, find Offer and click Send offer….
- If your team has offer templates, choose one under Template, or pick No template.
- Fill in the Email subject and the Offer terms. The terms are required. Leave the subject blank to use the default subject.
- Set the Salary, Currency, Pay period (Per year, Per month, Per week or Per day) and Employment type (Full time, Part time, Contract or Internship).
- Pick a Start date and an Expiry date if you want them. After the expiry date, the candidate can no longer accept or decline.
- Click Send offer.
The salary and template start with the values set on the job.
Sending moves the candidate to the job's Offer stage and emails them from your team's name. If they've set an Email for offers on their profile, it goes there.
Owners, admins, members and hiring managers who can see the job can send offers. Interviewers can't. Each application has one offer, and once a candidate has signed, you can't send them another for the same job.
Offer templates
- Open Team settings and choose Offer templates.
- Click New template.
- Enter a Template name, an Email subject and an Email body.
- Click Create template.
These merge fields are filled in when the offer is sent:
{{candidate_name}}{{job_title}}{{team_name}}{{salary}}{{start_date}}
To make a template the default for a role, choose it under Offer template when you create or edit the job. Only owners and admins can create, edit or delete templates. The Offer templates page needs an active team subscription.
Offer statuses
| Status | What it means |
|---|---|
| Draft | The offer has been saved but not sent. |
| Offer sent | The candidate has the offer. On the offer page your team sees Awaiting the candidate's response. |
| Accepted | The candidate signed the offer. |
| Declined | The candidate turned the offer down. |
| Withdrawn | The offer was withdrawn. |
| Expired | The expiry date passed before the candidate responded. |
The candidate's card on the board shows a tag such as Offer sent or Offer accepted. Click it to open the offer.
What the candidate sees
The email has a View and respond to your offer button. It opens a page with the salary, employment type, start date, expiry date and your terms.
To accept, the candidate types their full legal name, draws or types a signature, agrees to sign electronically and clicks Sign and accept. Or they click Decline.
After the candidate responds
- Accepted: Katara emails a signed PDF to the candidate and to your team's owner. By default the candidate moves to your Hired stage. You can choose a different stage, or Leave them where they are, under When an offer is signed in the job's stage settings. A signed offer can't be changed.
- Declined: the candidate moves to your rejected stage.
Your team gets a notification either way.
