Every role you hire for lives on the Jobs page. Each job has its own pipeline of candidates. Jobs need an active team subscription.
Who can create a job
- Owners and admins publish jobs straight away and choose the status themselves.
- Members can create jobs too, but the job is sent to your team for approval first. The form shows a notice saying so.
- Hiring managers and interviewers can't create jobs. They work on the jobs they're assigned to.
Creating a job
- Open Jobs and click Create Job.
- Enter a Title. This is the only required field.
- Add a Description of what the role involves.
- Pick a Department. Choose Other to type your own department name.
- Enter a Location, or tick Remote.
- Fill in the salary and pick a status if you're an owner or admin.
- Click Save.
Katara creates the job with six default stages: Applied, Screening, Interview, Offer, Hired and Rejected. You can change them later. See Customising stages and automations.
Salary and location
Salary is an annual range. Enter Salary min, Salary max and a Currency. You can leave the range blank, but if you enter both values, the maximum can't be lower than the minimum. The range appears under the job title on the job page.
If you tick Remote, the job page shows Remote in place of a location. If you leave both blank, it shows No location.
Optional settings
- Interview template: the interview loop this role uses. See Scheduling interviews.
- Offer template: prefills the offer email for this role.
- Onboarding template: the checklist a hire from this role starts with.
- Team only: only your team sees the job. It stays off your careers page, the job feed and job search, and nobody can apply to it publicly.
- Confidential: hidden from plain members. Admins and assigned members can still open it.
- Assigned members: hiring managers and interviewers only see the jobs they're assigned to. Tick the people who should work on this one.
To change any of these later, open the job, click the More job actions menu and choose Edit job. You can also rename a job by clicking its title.
Job approval
When a member creates a job, its status is Pending Approval and the team's owner and admins are notified.
- An owner or admin opening the job sees who submitted it, with Approve and Decline buttons.
- Approve sets the job to Open and notifies the person who requested it.
- Decline asks Reason for declining? The reason is optional. The requester is notified and sees the reason on the job page.
- After a decline, the requester can make changes and click Resubmit for approval. Approvers are notified again.
Job statuses
| Status | What it means |
|---|---|
| Open | The job is active. Unless it's Team only, it can appear on your careers page and in job search. |
| On Hold | Paused. It no longer shows publicly, but the pipeline stays as it is. |
| Closed | The role is finished. It no longer shows publicly. |
| Pending Approval | Waiting for an owner or admin to approve it. |
The Jobs page has a tab for each status, plus All, and opens on Open. You can also search by title, and filter by department or visibility.
Deleting a job
Only the team owner can delete a job. Open the More job actions menu and choose Delete job. This deletes the job and its pipeline, and you can't undo it. To stop hiring without losing the history, set the job to Closed instead.
