Scheduling interviews

Book interviews from the pipeline, run shared sessions, and handle candidate reschedule requests.

You schedule interviews from a candidate's panel on the job's pipeline. Katara checks your interviewers' availability, so you only see free times. Owners, admins and hiring managers assigned to the job can schedule.

Scheduling an interview

  1. Open the job and click the candidate's card.
  2. In the Details panel, next to Interview, click Schedule….
  3. Set the Duration (minutes) and Format: Video call, Phone call or Onsite.
  4. For a video call, add a Meeting link, or leave it blank to auto-generate a Google Meet link when the organiser has a connected calendar. For onsite, add a Location.
  5. Tick the Interviewers who'll attend.
  6. Pick a date and time under Time.
  7. Click Schedule interview.

If no times appear, click See what's blocking these times to find out why.

You can also tick people under Or any one of to build a pool. The time picker then shows times when any one of them is free.

Letting the candidate choose

Instead of picking a time, you can send a booking link. Choose the interviewers first, then click Send a booking link. Copy the link and send it to the candidate. They pick from the same availability, and the interview is created when they book.

Set Bookings allowed above 1 to let several candidates use the same link. They're seated into one session. Only owners and admins can create booking links.

Using interview templates

An interview template is a reusable loop of stages, each with its own questions and scorecard. Admins build them under Interview templates in your team settings. You then pick one in the job's Interview template field.

When a job has a template, the form shows Interview round, so you can link the interview to one of its stages. To view the template, open More job actions on the job and choose Interview template.

Shared sessions with seats

Set Seats above 1 to run one session for several candidates, such as an assessment day or a group interview. The first candidate takes one seat.

To seat another candidate in the same job:

  1. Find their card on the board. This only shows for candidates without an upcoming interview.
  2. Open Add to a session and choose a session. Each option shows its time and how many seats are left.
  3. Click Add to this session.

Only upcoming sessions with free seats are listed.

Rescheduling

To move an interview, click its time next to Interview in the candidate panel. Choose a new time and click Save changes. The candidate and interviewers are told about the new time, and the candidate needs to confirm again.

Tick Allow the candidate to reschedule this interview themselves to let candidates ask for a different time. It's on by default.

Approving or declining a reschedule request

When a candidate asks for a new time, their card shows Candidate asked to move to and the time they picked.

  • Click Approve to move the interview to that time. It counts as confirmed by the candidate.
  • Click Decline to keep the original time. The candidate is told their request was declined.

Candidate confirmation

The interview tag on each card tells you where things stand:

  • Green with a tick: the candidate confirmed. For a shared session, hover to see how many seats are taken, for example Session confirmed · 3 of 5.
  • Amber with a clock: Awaiting candidate.

On the Interviews page, the Unconfirmed tab lists upcoming interviews the candidate hasn't confirmed yet.

Cancelling

You can't cancel an interview from the pipeline board or the candidate panel. If the time no longer works, reschedule it. When an interview is cancelled, Katara removes the calendar event and tells the candidate and interviewers. It then appears under Cancelled on the Interviews page.
