Inviting and managing team members

Invite people to your team, choose their role, and change or remove access later.

Your team shares one workspace for jobs, candidates and interviews. Each person's role decides what they can see and do.

Before you start

  • Your team needs an active Teams subscription to open the Members page.
  • Only the team owner and admins can invite, edit or remove people.
  • You need a verified work email before you can invite anyone.

Invite people by email

  1. Open your team and click Team settings.
  2. Under People, click Members.
  3. Click Invite.
  4. Enter one or more addresses in Email addresses. Separate them with commas or new lines. You can invite up to 50 people at once.
  5. Choose a Role. Everyone in this batch gets the same role.
  6. Click Invite.

Each person gets an email invitation. They add their name and job title when they accept. Until then, they show as Invite pending. To send the email again, click Resend invite on their row.

Import members from a spreadsheet

  1. On the Members page, click Import members.
  2. Click Download template to get an Excel file with the right columns.
  3. Fill in one row per person: Email, First Name, Last Name and Job Title. The Role column is optional. Leave it blank to make someone a Member.
  4. Upload the file under Excel file and click Import.

The file must be .xlsx and can have up to 100 rows. Katara invites everyone it can and lists any rows it skipped, with the reason, such as a missing name or an unknown role.

Roles

RoleWhat they can do
OwnerEverything an admin can do, plus transferring ownership and deleting jobs. There is one owner per team.
AdminRuns the whole team, including members, templates and settings. Admins also see confidential jobs.

Edit a member

  1. On the Members page, open the Member options menu on the person's row.
  2. Click Edit member.
  3. Change their Role, name or Position, then click Save.

You can't change your own role or the owner's role. Katara also stops you from demoting the last admin.

Remove a member

  1. Open the Member options menu on the person's row.
  2. Click Remove member, then confirm.

They lose access to the team straight away. You can't remove yourself, the owner or the last admin.

Transfer ownership

Only the current owner can do this, and only to someone who has accepted their invite.

  1. Open the Member options menu on the new owner's row.
  2. Click Transfer ownership and confirm.

The new owner gets full control of the team, including billing and member management. You stay on the team as an admin.

Seats

Every person on the team is a paid seat, including the owner. Invited people count as soon as you invite them, even before they accept. When you add or remove someone, Katara updates your subscription's seat count for you. The Members page shows your current seat count and how many seats are left before the next pricing band.
