Adding, sourcing and referring candidates

Bring candidates into a job's pipeline from rosters, profiles and the marketplace, or refer someone.

Candidates reach a job's pipeline in several ways. Some apply themselves, and others are added by your team. Each card shows where the candidate came from, so you can see which channels work. New candidates land in the job's first Screening stage.

Adding a candidate from your rosters

The Add Candidate button on a job lists everyone on your team's rosters who isn't already in this pipeline.

  1. Open the job and click Add Candidate.
  2. Choose someone from Select a candidate.
  3. Click Add candidate.

If nobody is on a roster yet, the dialog offers Go to rosters. If everyone on your rosters is already in the pipeline, it also offers Browse marketplace. See Rosters and talent pools.

To add several people at once, open a roster, select them, and click Add to pipeline. Pick the job, and anyone already in that job's pipeline is skipped. You can add up to 100 candidates in one go.

Adding someone from their profile

When you're viewing an engineer's profile, open the profile menu and choose Add to Job. Pick a job under Select Open Job and click Add. Jobs the candidate is already in aren't listed.

Matching from the marketplace

On the marketplace, click Match with Candidate on an engineer's card, choose a job, and confirm. Katara adds them to the pipeline and lets the engineer know they've been matched.

Referring a candidate

Anyone who can see a job, apart from interviewers, can refer someone for it. If you can add candidates, Refer Candidate is in the More job actions menu. Otherwise it's a button at the top of the job.

  1. Click Refer Candidate.
  2. Enter their First name, Last name and Email. These are required.
  3. Optionally add their LinkedIn profile and attach a CV. The CV must be a PDF, DOC or DOCX file smaller than 10MB.
  4. Click Submit referral.

The card shows who made the referral. If the candidate is later hired, the referrer is notified.

Removing a candidate

  1. Click the candidate's card to open the panel.
  2. Open the More actions menu and choose Remove from pipeline.
  3. Confirm.

This deletes their application, interviews and scorecards for this job, and you can't undo it. The removal is recorded in your team's audit log. If you only want to stop progressing someone, use Reject instead so their history stays.

The same menu has Erase candidate data, which only owners and admins can use. It permanently clears the candidate's name, email, phone and CV. It isn't offered for candidates who've been hired.

Who can add candidates

Owners, admins and hiring managers assigned to the job can add and remove candidates. Hiring managers only see jobs they're assigned to.
