When someone applies for a job on your careers page, Katara adds them straight to that job's pipeline. The applicant gets a confirmation email with a link to their own candidate portal, where they can follow their application.
Where the application lands
Each application becomes a candidate in the job's pipeline:
- Stage: the job's first screening stage. If the job has no screening stage, it goes into the job's first stage.
- Source: the candidate card shows External, and the candidate's details show External ATS. This is the same label as other candidates who came in without a Katara profile.
- Details: their name, email, phone number, LinkedIn profile and CV are saved on the application. Answers to your application questions are on the Answers tab.
Careers-page applications are always stored this way, even if the applicant already has a Katara profile. The application isn't linked to their profile when they apply. They can link it themselves later from their portal.
When an application is turned away
The careers page won't accept an application if:
- the applicant hasn't agreed to the privacy policy
- someone with the same email address is already in this job's pipeline and hasn't been rejected
- the job is no longer open, or has been set to Team only
- your careers page is paused because your plan has ended
What the applicant sees
After they click Apply, a confirmation tells the applicant that your team has their application. Katara also emails them a confirmation from your team's name. The email has a link to their candidate portal, where they can:
- see their status, such as Received, Under review, Interviewing, Assessment, Offer, Hired, Not selected or Closed
- see and book interviews
- view and respond to an offer
- see onboarding tasks you hand to them once they're hired
- click Withdraw and delete my details to withdraw, up until they're hired. Your team then no longer sees their name, contact details, CV or answers.
If they have a Katara account, they can click Add to my profile to link the application. If they don't, they can click Create my profile to set one up.
How statuses map to your stages
The portal status follows the type of stage the candidate is in:
| Stage type | Portal status |
|---|---|
| Screening | Under review |
| Interview | Interviewing |
| Assessment | Assessment |
| Offer | Offer |
| Archive | Closed |
Hired and rejected candidates show Hired and Not selected.
Sharing the portal link again
If an applicant loses the email, you can send the link again.
- Open the job and click the candidate.
- Find Candidate portal in their details.
- Click Copy link to copy it, or Email link to email it to them.
Email link only works if the candidate has an email address on file, and it needs an active team subscription.
