Importing an existing pipeline

Bring jobs and candidates over from Greenhouse, Lever, Workable or a CSV export.

If you already track candidates in another system, you can bring your jobs, candidates and pipeline into Katara. You can connect Greenhouse, Lever or Workable directly, or upload a CSV export from any system. Nothing is added to your pipeline until you've checked a preview.

Before you start

  • Only the team owner and admins can import.
  • Starting an import needs an active Teams subscription.

To open imports, go to your team, click Team settings, then click Imports under Candidate data.

Connect Greenhouse, Lever or Workable

A direct connection brings over jobs, candidates, applications, notes, interviews, feedback and resumes.

  1. Under Connect your current system, pick your system.
  2. Create read-only API credentials in that system. The page lists the exact steps and permissions for each one.
  3. Paste the credentials and click the connect button, for example Connect Greenhouse and preview.

Your keys are stored encrypted and deleted as soon as the import finishes. Workable limits how fast data can be fetched, so large Workable accounts can take a few hours.

Upload a CSV

  1. Export candidates from your current system as a CSV with one row per application. Files can be up to 25 MB.
  2. Under Upload a CSV export, choose the file and click Upload.
  3. Under Match your columns, tell Katara which column holds each piece of information. If the file looks like a Greenhouse, Lever or Workable export, Katara matches the columns it recognises for you.
  4. Click Check the file.

At a minimum, match the job, the candidate's name and their email. You can use one full name column, or separate first and last name columns.

Review and match

Once Katara has read every row, you see a preview and any Rows that won't be imported, such as rows with no email or candidates already in that job's pipeline. Fix them in your export and upload again, or leave them out.

Then match what's in the file to your team:

  • Jobs: each job becomes a new job (Create as a new job) or joins one you already have.
  • Stages: choose where applications at each stage land in your pipeline, or Keep as its own stage. Hired and rejected applications go to Hired and Rejected, whatever stage the file says.
  • Recruiters: match each recruiter to someone on your team, Invite to the team, or Keep the name only. Invited people get the role you pick, and each one is a paid seat.

Click Save matching. When you're happy, click Import [number] applications and confirm.

What happens to imported candidates

  • Imported applications show External as their source.
  • New jobs are created on hold, so they don't appear on your careers page until you open them.
  • Nobody is emailed or notified, and no automations or integrations run for imported applications.
  • If a candidate's email matches an engineer's Katara profile, the application is linked to that profile. This doesn't happen if the engineer has hidden their profile from your company.

The import runs in the background. If it stops partway, click Resume import.

Undo an import

You can undo an import for 7 days after it finishes. Click Undo import on the import's page. Applications nobody has worked on are removed. Anything someone has moved, interviewed, scored, made an offer on or added notes to is kept. So are jobs you've opened or edited, and anyone who was invited.
